Entries may not be submitted from sister publications unless they are also members of FPA.
All contest entries must be the sole work of the newspaper staff and/or regular contributors.
CONTEST RULES
- The deadline for ALL uploaded entries 11:59 p.m. EST, February 7, 2023. All mailed entries must be postmarked/dated on or before February 7.
- Membership dues for your newspaper must be paid by February 7, 2023 in order to be eligible to enter the contest.
- Submit all entries online unless absolutely unable. For entries that need to be mailed please follow the instructions in the following "How to Enter" section.
- To aid the judges, in the photography category, if there is more than one photograph on the page, indicate which photos are in the competition by adding an arrow pointing at, but not on, those photos.
- All entries must have been published between Jan. 1 and Dec. 31, 2022.
- Unless specified in the category description, all work MUST have appeared in print and must be submitted according to the category rules. Work that has appeared online only is generally not accepted, unless the category description says otherwise.
- A photo or story may only be entered once and only in one Division. This does not mean that an individual photo or story entered in one category may not be a part of a full-section entry, such as General Excellence. There are also exceptions for the following awards: Portfolio Photography, Online Slideshow and Multimedia Storytelling.
- All mailed entries from a single newspaper must be submitted at one time in one package.
- The entry fee for each individual entry you submit is $12. Payment can be made online or checks should be made payable to the Florida Press Association and mailed in compliance with the entry deadline.
- By participating in the contest, the newspaper will agree to follow the association’s guidelines in using the FPA Award logo and that the logo must include the year of the contest. If they use “FPA Award Winner” from any other year they must state the year they won the award.
For this contest, FPA newspapers are divided into three divisions based on circulation. Your entries will be judged in the division listed in the contest entry system (if what is listed there is incorrect, please contact ktower@flpress.com).
Division A: Circulation over 15,000
Division B: Circulation 4,000 - 15,000
Division C: Circulation under 4,000
*Newspapers with a circulation exceeding 50,000 are ineligible to win sweepstakes awards due to their significantly greater resources.
Step 1 —Register for the FPA contest here: https://portal.newspapercontest.com/florida/fpa/newspaper/register.php The required Association Code is FLPRESS. You will receive a confirmation email, which you will need to complete registration.
Step 2 — Log in. You will see a page showing any entries you may have already submitted.
Step 3 — Click on the “Add New Entry” link.
Step 4 — On this page, select your newspaper name. If this paper entered the contest last year, last year’s division information will autofill. If that information is incorrect, please email ktower@flpress.com. Your entries will be judged in the division listed in the entry system. Fill in the preparer’s (the person inputting entries) name.
Step 5 — Select the contest category you wish to enter (leave contest type on the default selection “By Division”). These are drop-down menus for your convenience. This field will clear each time you save an entry, so you must select a category for each new entry. When you select the category, the category description will appear below it.
Step 6 — If necessary, provide an explanation of your entry. The explanation/cutline box is limited to 3,000 characters. It’s a good idea to write your explanation in another program, such as Word, and copy/paste into the explanation box. If URLs are required, fill in the URL box(es); there is no need to type “http://.” (If additional URLs are needed, please provide a pdf or word document with additional URLs.)
Step 7 — Include the name of the entry. If uploading full-page PDF files, it will be helpful if the entry name matches the headline on the page so the judges can find it easily.
Step 8 — In the Contributor(s) field, include the name(s) of the person or people who should be credited for any award. This is generally the writer, reporter, photographer, graphic artist, cartoonist, etc. It is not necessarily the name of the person submitting the entry nor the person picking up the award at the conference.
Step 9 — Add your file or files. You can drag and drop files or use the “Add files” button to navigate your files. Generally, files should be in PDF format except photos, which should be in high-resolution JPG format. Other files and URLs may be acceptable as noted in the special instructions. Upload as many files as are necessary to complete your entry but refer to the special instructions for any limitations.
Step 10 — When you have completed your submission, click the “Save” button. If you click the “Back to list” button, you will lose the entry you just completed. After clicking “Save,” you will be directed back to the list of your entries.
Step 11 — To submit another entry, click “Add New Entry.” As long as you have not logged out of the system, your newspaper name will still be in place and you can simply start at Step 5 again. You may log out and log back in later to continue adding entries. You will need to select your newspaper name each time you log in.
Step 12 — If you are done submitting entries, please review the list. You may not edit an entry, but you may delete an entry and resubmit it. When done uploading all your entries, click the “Billing” button on the list page. This will take you to a page where the entry fee is automatically generated. Follow instructions on the Billing page for payment options.
Accepted formats are PDF, JPEG, JPG, and WMF . Remember that judges will view your entries online so strive to make the file size small enough to make downloading easier.
No explanatory or background material may accompany entries unless specifically permitted by the category.

Entries will be judged by out-of-state industry professionals with newsroom experience. Final decision on value and applicability of all entries is up to the judges. Judges have complete discretion in making awards and are not required to grant awards in any category.
In categories with circulation divisions, if there are fewer than five entries by three newspapers in any division, those entries will likely be combined with the next closest division for judging.
All awards and plaques are issued in the name of the newspaper as the official contest entrant unless otherwise noted. Judges may select First, Second and Third place winners for each division. Judges may grant only one award per staff member in each category. Awards will be presented during the 2023 Florida Media Conference being held July 20 & 21 at the Westin Resort in Sarasota.
Please note: Any awards not picked up at the awards ceremony will be shipped to the winning newspaper at the paper’s expense.
SWEEPSTAKES
Sweepstakes trophies will be awarded to the top newspaper in each circulation division, based on point accumulation.
Points are awarded as follows: First Place – 10 points, Second Place – 5 points, Third Place – 2 point. There will be no tie-breaking procedures. If newspapers tie for top awards, duplicate awards will be presented.
*Newspapers with a circulation exceeding 50,000 are ineligible to win sweepstakes awards due to their significantly greater resources.
How many times may I enter each category?
Please see the list of categories, as some categories allow one entry per newspaper, some allow three per person and some allow an unlimited number of entries.
Can the same item be entered in different categories?
In most cases the answer is NO. A photo or story may only be entered once and only in one Division. This does not mean that an individual photo or story entered in one category may not be a part of a full-section entry, such as General Excellence. There are also exceptions for the following awards: Portfolio Photography, Online Slideshow and Multimedia Storytelling.
What file formats are accepted for uploading?
File types are PDF, JPEG, JPG, and WMF
How can I make my PDF files smaller?
Most newspaper PDFs include high-resolution images for printing. However, PDF contest entries will be viewed and judged on a computer monitor, which displays at low resolution (72-96 dpi) in RGB color. Changes in the resolution and color mode of images are the most effective way to reduce file size without sacrificing quality.
What if I cannot make the files small enough?
Each entry is limited to 100MB (mb) total for all files. If you cannot make your files small enough to load to the website, then you may host larger files from your corporate server or use the free service online at www.issuu.com.
Where can I get more help for anything I can’t find here?
